In Compliance with Republic Act No. 10173, otherwise known as the Data Privacy Act of 2012
The Association of Certified Fraud Examiners–Philippines Chapter, Inc. (ACFE–Philippines Chapter) affirms its commitment to safeguarding the privacy rights of all participants in its conferences, trainings, meetings, and official events. This Data Privacy Statement outlines the lawful bases for the collection, processing, use, and publication of personal data, in strict accordance with the principles of transparency, legitimate purpose, and proportionality under the Data Privacy Act of 2012 and its Implementing Rules and Regulations.
I. Registration and Reservation of Slots
1. Seats are limited and shall be reserved strictly on a first-come, first-served basis.
2. Registration must be submitted through official channels; acceptance shall only be confirmed upon receipt of registration and
applicable fees.
3. Only members in good standing as of September 15, 2025, shall qualify for the Members' Rate.
4. Late registrants are subject to seat availability and may be denied entry if capacity limits are reached.
5. All confirmed registrations shall be billable unless cancelled in accordance with Section III below.
II. Issuance of Billing Statements/Service Invoices
Upon receipt & confirmation of the registration, a Billing Statements will initially be sent to confirm the following information,
prior to the issuance of the Service Invoice:
1. Name of the Organization or Full name of Participant (for personal account).
2. Billing Address
3. Tax Identification Number
4. Full name & position of contact person for Billing
5. Contact number and email address
NOTE: All payments MUST be scanned and emailed immediately to trainings@acfe-p.org for validation/confirmation.
Only one type of discount may be availed.
III. Cancellation policy
1. Formal cancellation must be submitted via email to the ACFE Phils. Chapter secretariat.
30 days before the first session - Full refund
15 -10 days before the first session - 75% refund
9 - 5 days before the 1st session - 50% refund
Less than 24 hours before the session - no refund, full amount billable
No-show participants - no refund/full amount billable\
2. Refunds shall be processed after the event, subject to administrative validation.
IV. Participant Substitution
1. Substitution of registered participants must be requested via email at least 7 business days before the event.
2. Substitution requests made after the cutoff shall incur a 10% administrative charge, payable at the venue.
V. Payment Guidelines

2. Transfer charges shall be borne by the participant.
3. All payments must be completed at least one week before the event.
4. Deposit slips must be emailed or faxed to the Secretariat for validation.
VI. Inclusions
1. On–site registrants shall receive: lunch & snacks, giveaways, presentation materials (.pdf), raffle entry, and printed
Certificate of Attendance.
2. Online registrants shall receive: presentation materials (.pdf), digital Certificate of Attendance, and raffle entry.
3. Raffle prizes and Grand Prizes are open to all participants who are present/online during the draw.
4. CPE Credits: Up to 20 units based on validated attendance; issuance contingent on full payment.
5. Dress Code: Smart Casual.
VII. Event Administration
1. ACFE–Philippines Chapter reserves the right to change the venue, event format, or cancel the activity if minimum
attendance is not met.
2. All affected registrants shall be notified at least 15 days prior to the start of the event via email and SMS.
VIII. Scope of Collection and Processing
By registering for and attending any ACFE Philippines Chapter–organized event, attendees voluntarily authorize the collection, access, and lawful processing of the following personal data:
1. Full name, position, organization, mobile number, email address, and relevant professional credentials
2. Government–issued identification (as required)
3. Attendance logs, session participation, Continuing Professional Education (CPE) credits
4. Photographs, audio–visual recordings, live streams, interviews, and commentary from event proceedings
5. Chat logs, feedback forms, evaluations, and voluntary submissions during the course of the event
IX. Lawful Purpose and Intended Use
Collected data will be processed and used exclusively for the following purposes:
1. Verification and credentialing of participants for issuance of CPE and Certificates of Attendance
2. Logistics planning, session administration, raffle and prize management
3. Documentation, educational dissemination, and post–event reporting
4. Promotional activities and public information consistent with the Association’s mission
5. Communication of future events, member benefits, research initiatives, and training opportunities
6. Content hosting and distribution through media partners and digital event platforms
X. Media Consent and Social Media Publication
Participants grant express, unequivocal, and informed consent to the recording, usage, and publication of photographs, video
clips, audio recordings, testimonials, and related media where their image, voice, name, or other identifiers may appear.
These materials may be published on and disseminated through the following channels:
1. Official ACFE Philippines Chapter websites and affiliated microsites
2. Traditional and digital newsletters, printed reports, and electronic publications
3. Social media platforms, including but not limited to YouTube, Facebook, Instagram, LinkedIn, and TikTok
4. Event highlight reels, post–conference features, advocacy campaigns, and public–facing training collateral
The ACFE–Philippines Chapter guarantees that all media published shall remain respectful, professional, and aligned with the
ACFE–Philippines Chapter’s standards. Participants waive claims to compensation arising from lawful and non-defamatory use
and acknowledge that such publication is part of the ACFE–Philippines Chapter’s educational and advocacy mandate.
XI. Confidentiality, Third–Party Processing & Disclosure
Personal information shall not be disclosed to unauthorized parties. Data will only be shared with:
1. Secretariat staff, organizing officers, and official volunteers subject to confidentiality agreements
2. Accredited third–party service providers for event registration platforms, analytics, and delivery systems
3. Partner organizations and vendors providing event services, subject to executed Data Sharing Agreements
No sale, lease, or commercial exploitation of participant data shall occur. Any release of information shall adhere to Sections 20
and 21 of RA 10173, and all data processors shall be bound by contract.
XII. Data Retention and Disposal Protocols
Personal information shall be retained for a period of one year. After expiration of retention period, data shall be securely
destroyed through standardized procedures—digital deletion, physical shredding, or secure archival.
XIII. Rights of the Data Subject
All attendees are entitled to exercise the following rights under Sections 16 to 18 of RA 10173:
1. Right to be informed of how their data will be processed
2. Right to access personal data held by the Association
3. Right to rectification or correction of inaccuracies
4. Right to object to unwarranted processing or marketing
5. Right to withdraw consent for future processing or dissemination
6. Right to file a complaint with the National Privacy Commission for unauthorized use or breach

XIV. Confidentiality Notice
This Privacy Statement and any personal data collected in relation to ACFE–Philippines Chapter events are deemed strictly confidential. It is exclusively intended for use by the Association and its authorized personnel and shall not be shared, reproduced, or disseminated to third parties without explicit consent from the data subject. This Data Privacy Clause is binding upon registration and shall form part of the participant’s attendance agreement for all ACFE–Philippines Chapter conferences and meetings.

ACFE Philippines, may use personally identifiable information (PII) you have voluntarily provided, to identify you as the event participant, to verify your identity in case you won any of our event prizes, to notify you via e-mail for printed material of events or other relevant products and services offered by the ACFE.

Voluntarily provided PII to the ACFE, may be shared with companies, organizations or individuals outside of the ACFE only with your consent. ACFE may release information on a selective basis to outside organizations whose products and services are of perceived benefit. These organizations include, but are not limited to:
Various companies that authenticate credit cards on behalf of ACFE if you provide a credit card for the purchase of our products or services.
Data Access and Corrections
Reasonable access to this events’ participants, who wish to review their personal information to correct any inaccuracies therein may request to do so thru the Data Protection Officer details.
